Who we are

Dothex Ltd (“Dothex”, “we”, “us”) is an embedded systems and product development consultancy registered in England and Wales under company number 11855557. Our address is 565 Green Lanes, Haringey, London, N8 0RL, United Kingdom. We are the controller of the personal information described in this policy. If you have any questions about it, email hello@dothex.net or call +44 (0)20 3290 3080.

What information we collect

  • Enquiries: when you use our contact form or email us, your name, email address, the information you choose to give about your product or project, and any files you send.
  • Clients and suppliers: business contact details of the people we work with, and the correspondence, contracts and invoices that come with a working relationship.
  • Website use: technical information such as your IP address, browser type and the pages you visit, recorded in our hosting provider’s server logs for security. With your consent, statistics cookies may also collect information about how the site is used (see our cookie policy).
  • Cookie choices: a record of the choices you make in our cookie banner.

We don’t ask for special category information, such as health data, and ask you not to send it to us.

How we use it and why

  • To reply to your enquiry and discuss a possible project: our legitimate interests in answering questions sent to us and developing our business.
  • To deliver work, manage a contract and invoice: performance of a contract, or steps you ask us to take before entering one.
  • To keep accounting and tax records: legal obligation.
  • To keep the website secure and working: our legitimate interests.
  • To understand how the website is used through statistics cookies: your consent, which you can withdraw at any time.

We don’t use your information for automated decision-making, and we never sell it.

Who we share it with

Only where needed: our website hosting and email providers, IT and software service providers who process information on our behalf, professional advisers such as accountants and lawyers, and authorities where the law requires it. Our providers act under contracts that require them to protect your information.

Transfers outside the UK

Some service providers may process information outside the UK. For example, Google serves the web fonts used on this site and may receive your IP address when a page loads. Where information leaves the UK, we rely on UK adequacy regulations or appropriate safeguards such as the International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses.

How long we keep it

  • Enquiries that don’t lead to work: up to two years after our last contact.
  • Client and supplier records: for the length of the relationship and six years after it ends, to meet our legal and accounting obligations.
  • Server logs and cookie consent records: for a limited period, normally no longer than 12 months.

After that, we delete or anonymise it.

How we protect it

We use access controls, encrypted connections (HTTPS) and reputable providers, and limit access to the people who need it for their work. Information you share with us under a non-disclosure agreement is also handled under the terms of that agreement.

Your rights

Under UK data protection law you have the right to access the personal information we hold about you, ask us to correct or delete it, ask us to restrict or stop using it, receive it in a portable format, and withdraw consent at any time where we rely on consent. To use any of these rights, email hello@dothex.net. We’ll reply within one month.

Complaints

If you’re unhappy with how we’ve handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.
